How to Create a Brand Messaging & Voice Doc for (and with!) ChatGPT

If you’re a wellness practitioner who’s started dabbling with ChatGPT for content creation, it probably felt exciting… for about five minutes.

Then came the frustrating part.

The emails that sounded robotic.

The captions that felt generic.

The sales page that just wasn’t going to work.

Here’s why:

AI is fantastic at picking up on patterns and stringing words together in a way that makes sense, but it doesn’t know your message.

It doesn’t know your voice.

It doesn’t know your vibe.

That part is on you.

You’ve got to bring the soul of your brand (and your expertise!) to the table.

It’s really no different than hiring a copywriter. Their work is only as good as the clarity and direction you give them. Same goes for ChatGPT.

So before you go too deep into your chat threads, let’s make sure you’ve got the foundations in place—including a single brand voice & messaging doc.

Follow these steps to create a single brand voice & messaging doc that you can ultimately upload into ChatGPT to keep it sounding like you every time. 

Step 1: Collect Your Favorite Content Samples

Before writing anything up about your brand message or voice, it's best to start with what you already have. 

That means gathering up content samples.

This can be anything you’ve written or spoken that reflects the energy, tone, and ideas you want to keep showing up with in your brand.

Pull together things like:

  • Emails you’ve sent that felt spot on
  • Social posts that resonated or flowed easily when you wrote them
  • Blog posts, podcast transcripts, or videos where you were in your zone
  • Website copy or sales pages that clearly communicate your offerings

Start with the pieces that already feel aligned (or at least close to how you want to sound). The goal is to get a starting point that represents your voice, even if it's still evolving.

And if you don’t have many pieces you love right now, that’s okay! You can also gather inspiration from others inside or outside your industry whose voice or vibe you admire. Just make sure it’s someone whose energy you actually want to emulate.

Don’t overthink this step.

Don’t go digging through ten years of Google Drive folders.

Just start with a handful of pieces that feel close.

Nobody will ever see this step, so it’s perfectly okay to be a bit messy.

Step 2: Co-Create Your Messaging Points with ChatGPT

Once you’ve gathered a few pieces of content that feel aligned, upload them into a new chat thread in your ChatGPT account. These can serve as a point of reference and base of ideas as you work alongside the AI tool to clarify your brand messaging.

This part now becomes collaborative.

Think of ChatGPT as an assistant who’s here to help you shape and refine your ideas.

The golden nuggets still come from you.

You’re not going to type in one magical prompt and have everything come out perfectly formed.

You’re going to go back and forth.

You’re going to make tweaks, ask follow-up questions, and refine your answers.

Here are the 4 core categories I recommend building out inside your BrandVibe Kit:

Your Ideal Client

Who exactly are you here to help? Work with ChatGPT to describe their:

  • Demographics (age, profession, location, etc.)
  • Pain points and frustrations
  • Hopes, dreams, and desires
  • Beliefs and mindset around their health and life

Your Unique Message

This is the heart of your brand. Use ChatGPT to help articulate things like:

  • Your paradigm shift (What do you believe that’s different from the mainstream?)
  • Your core messaging pillars
  • Any signature phrases or metaphors you say often
  • Your guiding philosophy or lens on your work

Your Offer Structure

Outline your current offer suite and what problem each one solves. You’ll want to include:

  • Your freebie or top-of-funnel CTA
  • The names and formats of your paid offers
  • Who each offer is for and what specific result it leads to

Your One-Liner

This is your high-level brand summary. Use ChatGPT to workshop a single sentence that communicates:

  • Who you help
  • How you help them
  • And why they should trust you

(Pro tip: Think of this like what you’d say at the top of your website or in your Instagram bio.)

Remember that ChatGPT is amazing at taking your ideas and helping you sharpen the language, but the message still has to come from you.

Step 3: Analyze for Voice, Style, and Tone

Now that you’ve clarified your message, it’s time to define your voice

This is what makes your content sound like you instead of a generic copy-and-paste template.

Once your core content is uploaded into ChatGPT (your samples from Step 1 and the messaging points from Step 2), ask it to summarize your voice.

You’re looking for patterns in:

  • Sentence structure (Are your sentences short and punchy or longer and flowing?)
  • Emotional tone (Is your content calming, empowering, witty, bold?)
  • Level of formality (Do you use contractions and casual language—or keep things more polished?)
  • Favorite phrases or common expressions (What words or metaphors do you come back to again and again?)

This is your opportunity to see what your brand already sounds like and decide if it’s the tone you want to keep leaning into.

As an option, if you want to shift your voice, you can also upload a few “aspirational” samples. These might be from peers, influencers, or brands you admire that capture the style you’re going for.

ChatGPT can then analyze both your current content and your aspirational samples to help you bridge the gap.

Have fun with this. You might be surprised at what ChatGPT says about your style!

Step 4: Document It All Into One Living Resource

Now that you’ve clarified your message and voice, it’s time to pull everything together into a single document: your BrandVibe Kit. 

This will quickly become your go-to resource that captures the soul of your brand in one clear, organized place.

In addition to your ideal client details, core messaging, offers, and one-liner, it also includes your signature phrases, recurring themes, and voice descriptors.
